In every well-oiled team, there’s that one person everyone relies on—the planner and scheduler. They’re the steady hand behind the scenes, keeping tasks organized, deadlines clear, and chaos under control. But what does being reliable really look like in this role? Here are five ways a rock-solid planner earns their team's trust every single day.


1. They Deliver on Their Promises

A reliable planner/scheduler doesn’t just talk a big game—they follow through.

  • Examples: When the jobs are placed in "Ready for Schedule" the teams know the planner has done their very best to prepare that job so they can perform the work with little or no delays due to having to chase parts, tools, etc. If they say the maintenance schedule will be ready by Friday, it’s ready by Friday. If they promise to update operations on delays (i.e. - waiting on parts) in work being prepared, they do it.
  • Why It Works: Reliability builds trust. When your team knows you mean what you say, they’ll depend on you without hesitation.

2. They Stay Calm Under Pressure

Deadlines slip, equipment breaks, and surprises happen—but a reliable planner doesn’t lose their cool.

  • Example: When a critical task falls behind, instead of panicking, they say, “Alright, let’s adjust the schedule and figure this out together.” A planer/scheduler's goal is to have the work conducted in a proactive environment, but if the equipment failed last night, we'll ensure the work order in the backlog is cancelled, the parts kitted are returned to stock, and if needed, we'll assist in raising an RCA event.
  • Why It Works: Calm leaders create calm teams. When the planner stays composed, everyone else feels more confident, too.

3. They Keep Communication Crystal Clear

No one likes guessing games, especially when timelines are involved. Reliable planners keep everyone in the loop.

  • Example: “Hey team, just a quick update—the shipment is delayed, so we won't be able to place that job on next week’s schedule. I’ll share the updated shipping plan by tomorrow.”
  • Why It Works: Clear communication prevents misunderstandings and keeps everyone on the same page.

4. They Anticipate Problems Before They Happen

Great planners don’t just react—they predict. They’ve got an eye on potential issues before anyone else sees them.

  • Example: “We’re always running low on that spare part so I've gotten with the storeroom personnel and adjusted the MIN/MAX level so we don't keep running out.”
  • Why It Works: Anticipating problems shows foresight and prevents those “uh-oh” moments from turning into full-blown disasters.

5. They Own Their Mistakes

Even the best planners aren’t perfect, but reliable ones own up to their slip-ups and fix them fast.

  • Example: “Sorry I missed those parts on that job yesterday guys, but thanks for giving me the feedback on the workorder when you turned it in so I can adjust the job plan for next time.”
  • Why It Works: Accountability earns respect. Teams trust leaders who are honest and quick to fix mistakes.
